Georgia Ag Experience Policies:
Hope you’re excited for the Georgia Ag Experience! To ensure a seamless and impactful visit, please review the following policies and guidelines carefully.
- Eligibility: The Georgia Ag Experience is available to elementary schools, youth-serving organizations, and youth-focused community events within Georgia, with priority given to Title I schools and underserved areas.
- Grade Levels: Programming is designed exclusively for 3rd-5th grade students (see Grade Level Policy below).
- Scheduling: Registrations must be made in accordance with the sign up period stated on our website (How to Schedule - The Georgia AG Experience) through the online request form. We will notify you of your approval or denial after the sign up period closes.
- Cost: The mobile classroom fees are $250.00 a day. Subsidies will be given to qualified schools or organizations. The true cost of the mobile classroom is $1500 a day. To keep the visit fee low, the remaining cost for the visit is paid for by sponsorships from local and state organizations.
- Payment Policy: 50% payment is due upon confirmation. 50% is due on the last day of the scheduled visit. Deposits are non-refundable (unless canceled due to Covid, trailer maintenance, natural disaster, or school closure.)
- Subsidies: Financial assistance may be available for eligible schools or organizations. Contact us for questions regarding subsidies for your school or organization.
The Georgia Ag Experience Mobile Classroom is specifically designed for 3rd, 4th, and 5th grade students, ensuring the best fit for its state-accredited curriculum.
Why 3rd, 4th, and 5th Grade?
- Curriculum Fit: Lessons and activities align with the learning objectives and reading levels of upper elementary students.
- Advanced Reading Level: Younger primary students may find the content overwhelming and frustrating due to the required reading and comprehension skills.
- Engagement Challenges for Older Students: While middle school students can manage the reading, the curriculum does not provide the complexity needed to fully engage older students.
Due to the challenges experienced during past visits, we only accept registrations for 3rd-5th grade classes to ensure the best experience for all participants.
- Space: The mobile classroom requires Secure, Level, Paved Parking, away from roadways. 45’L x 30’W and adequate space for trailer (Possible 65’L x 30’W
for truck and trailer) - Access: Ensure accessible entry points and parking for our transport vehicle.

School Visits
- Pre and
andPost Visit Lesson Plan: It is suggested to use class time for pre and post educational lessons and surveys. - Consent Forms: Collect consent and release forms for every student. Students without consent forms will not be allowed to visit the mobile classroom.
- Photo Release forms: Photo release forms must be completed before visit. Please ask teachers to notify GAE classroom educators of students who cannot be photographed when class arrives.
- Schedule: The provided schedule should be completed 3 weeks prior to your school visit.
- Scheduling: Please allow at least 50 minutes per class session and limit the classes to 5 per day. A minimum of a 30 minute lunch must be provided for our staff & volunteers. Contact your assigned educator if you have questions or concerns with scheduling. info@georgiaagexperience.org
Organizational Visits
- Pre and
andPost Visit Lesson Plan: For organizational visits, if program structure allows, provide instructional time for pre and post educational lessons and surveys. - Schedule: The provided schedule should be completed 3 weeks prior to your school visit.
- Scheduling: A minimum of a 30 minute lunch must be provided for our staff & volunteers. Contact your assigned educator if you have questions or concerns with scheduling. info@georgiaagexperience.org
To ensure the safety and well-being of all students, teachers must actively supervise their classes throughout the ENTIRE visit.
Teacher Requirements
- Assist with student engagement and ensure appropriate behavior.
- Ensure students follow event guidelines and remain in designated areas.
- Act as a liaison between students and staff, addressing any concerns promptly.
Your role is essential for a safe, organized, and enriching experience. Thank you for your cooperation and commitment!
- Delivery: Our mobile classroom hauler will contact you in advance to schedule the drop-off/pickup times and location. If you have any questions or concerns, please reach out to us! info@georgiaagexperience.org
- Setup & Breakdown: Our team will arrive 45 minutes - 1 hour before the start time to set up and will need 30 - 45 minutes after the session to pack up.
- Supervision: Teachers must be present during the entire visit to supervise students.
- Behavior Management: Teachers are responsible for maintaining appropriate student behavior.
- Weather: In the case of severe weather, we will reschedule the visit or issue a refund, depending on availability.
- Rescheduling: Requests must be made
at leastin advance, at least 2 weeks after the originally scheduled visit. - Emergency Cancelations: If you have cancelations due to unforeseen circumstances, please notify us immediately.
- Deposit: Deposits are non-refundable, except in the event of severe weather or school closures.
To ensure students' health and safety we ask you adhere to the following guidelines.
HEALTH PROTOCOLS
- Fever: Temperature of 100.4°F (38°C) or higher. Students must be fever-free for 24 hours without the use of fever-reducing medication before entering the classroom.
- Vomiting or Diarrhea: Not permitted until 24 hours have passed since the last episode without medication.
- Pink Eye: Red, watery, or crusty eyes that may indicate conjunctivitis (pink eye). Students can return once cleared by a healthcare provider or after 24 hours of prescribed treatment.
- Head Lice or Scabies: Students participate after treatment begins, and no live lice or mites are present.
SAFETY PROTOCOLS
- No running or pushing: In the confined space of our mobile classroom, running and pushing by students can lead to injuries, both to themselves and to others. It is crucial to maintain a safe environment and avoid such behavior.
